How approvals work
Each approval is tied to the exact version that was approved: answers, files and quote.
An approval records who approved what and when. In Promptusphere it is also tied to the exact version of what it covers: the answers, files and quote as they were at that moment.
Approval steps
- Steps are set up on the template or the request: approvals from your team, the customer's approval and the order they follow.
- Each step covers certain questions, files or the quote. For example: Delivery details, Final artwork, Quote and Customer approval.
- On a team step you can name who approves. If it is Ana Torres, everyone else sees “Only Ana Torres can approve this step”.
Approve a step
- 1. Open the request. On the right is Approvals, with each step and its state: Pending, Approved, Reopened, Team review or Declined.
- 2. Check what the step covers and choose Approve, followed by the step's name, for example Approve Final artwork.
- 3. If something isn't right, choose Decline and write the reason.
The request only becomes Ready to work when every required approval is current. Your customer approves their part from the portal.
If your screen is out of date
If someone changed something while you were viewing the request, your approval is not recorded. You will see “This request changed while you were viewing it” and can choose See the changes before approving. That way nobody approves a version that is no longer current.
