Data deletion and retention
Remove access, delete a customer's data, decide how long to keep requests or delete your workspace.
You decide how long your customers' data is kept, and you can delete it when they ask. Almost all of this is done by the person with the Owner role.
A customer's data
- 1. Open the customer's profile in Customers and go to Privacy.
- 2. To stop them from entering the portal, choose Remove portal access. Their links and codes stop working right away. Admin can do this too.
- 3. If they ask you to delete their data, choose Delete customer data, type their email to confirm and choose Delete data for good.
Deleting removes their answers, files, saved details and access across all their requests. The requests stay in your history without their data. This can't be undone.
How long to keep requests
- 1. Go to Settings, Data.
- 2. Under Keep completed requests, choose Until I delete them, 90 days, 180 days, 1 year, 2 years or 5 years.
- 3. Choose Save retention.
The period counts from when the request is completed or cancelled. When it ends, we delete its answers and files, and a record that it existed remains.
Delete your workspace
- 1. First, use Export everything if you want to keep a copy.
- 2. In Settings, Data, go to Delete workspace and type your workspace address to confirm.
- 3. Choose Delete workspace. Your customers stop being able to enter the portal right away.
